## The missing visit belongs in the renewal discussion.

Add the missing visit before reviewing these sample costs.

Sample agreement 042

### Four scheduled maintenance visits

Annual agreement price

US$1,200

**Visit 1**2 hours recorded

**Visit 2**2 hours recorded

**Visit 3**2 hours recorded

**Visit 4**Time record missing

**Visit 4**2 hours recovered from the sample job sheet

Which supporting records are present? The fourth visit's two-hour record is attachedThe agreed loaded labour cost is confirmed at US$50/hour

Until both records are present

### Maintenance contribution is incomplete.

Materials total US$120. Complete visit records and a confirmed labour cost are both needed before calculating contribution.

Next owner: service administration for the missing job sheet; the cost owner for the loaded rate.

With both sample records present

Recorded labour: 8 hours × US$50

US$400

Maintenance materials

US$120

Included maintenance costs

US$520

Defined maintenance contribution: US$1,200 − US$520

US$680

Here, contribution means agreement price less recorded maintenance labour and materials. It excludes shared overhead and separately billed repairs.

#### Ready for the manager's renewal discussion

The costs now have a source. The manager still decides the agreement's future price and scope.

Keep related repair work on its own line

The sample customer also had two separately billed repair calls. Those records stay separate so they do not hide a missing maintenance cost.

Loaded labour means the agreed hourly labour cost, including the burden categories your business uses. An uncertain burden stays an exception.

## Commercial HVAC renewal review

- A defined list of agreements in the selected renewal period.
- A reconciliation of planned visits, recorded labor and other available job costs.
- A separate view of maintenance contribution and related repair work.
- Visible exceptions for missing time, uncertain labor burden and unallocated costs.
- A manager-reviewed renewal list with the evidence behind each proposed next step.

Pricing

## Start with the published US$7,500 audit

The published two-week AI Opportunity Audit (US$7,500 fixed) inventories the workflow, puts numbers on what it costs you today and returns a 90-day roadmap. It is credited toward the build if you proceed. A pilot build of one workflow on your data is published at US$25,000 to US$60,000 fixed, with the conditions for stopping the pilot agreed in writing before we start. The audit reviews the agreements actually coming due and the condition of your cost data. Historical cleanup and ongoing reporting are separate.

### Agreements this can help

- A meaningful set of commercial maintenance agreements is approaching renewal.
- You can connect agreements to service visits and job-cost records.
- A service manager can explain callbacks, warranty work and contract scope.
- The owner or pricing lead will review the findings before acting.

### Not included

- Automatic repricing or customer communications.
- A guaranteed margin increase or renewal outcome.
- Company-wide cost cleanup or agreements outside the defined review period.

## Preparing your renewal review

1. ### Define the renewal group

Select the agreements and dates being reviewed, then confirm which costs can be traced to each contract.

2. ### Reconcile the available evidence

Separate planned service, related repairs and unresolved costs. Check a sample against source jobs before extending the analysis.

3. ### Review the commercial choices

Give your manager an evidence-backed list for scope review, cost investigation or pricing consideration. You approve any customer action.

## Automation we run on ourselves

50+ hours a week

Our own agency runs on agents we built: daily industry scanning and a weekly Meta ads review that creates owned tasks, saving the team 50+ hours a week. The published case shows how we build, review and keep improving them.

Our own marketing operation, not a commercial HVAC operator. It shows how we build and review workflow agents, not a result in your industry.

## Discuss your project

Use 30 minutes to discuss the contracts coming due, the cost records available and the decision you need to make.

## Renewal-review questions

Why start with a paid audit?

Because the value depends on your data, systems and volume, and none of that is visible from a form. The two-week audit puts real numbers on the workflow before anyone commits to a build, and its fee is credited if you proceed.

We already have profitability reports. What would you add?

The useful work is reconciling those reports to the agreements being reviewed. We check missing costs, attribution and the manager's decision process. If your existing reporting already answers the question reliably, a new dashboard may add little.

Does the review cover every contract we renew this year?

Only if that scope is agreed. A review of the next renewal window uses the agreements actually included. Their annual contract value is kept separate from when any financial benefit could be realized.

Will you tell us what to charge?

We can organize the evidence for a pricing discussion. Your owner or pricing lead decides what to charge, considering scope, costs and customer retention. No price change or customer message is sent automatically.
