### How do I request an approved software tool?

> Add the tool to the team request list and name the manager responsible for its use.

A question outside this role's access

Team question

### What salary did a teammate agree to?

> This role has no permitted source for that question. Ask the people-operations owner about the appropriate process.

Permitted-source check

The permitted source set contains the team handbook. It contains no individual pay records.

**Do not retrieve a restricted answer**Topic owner: People operations

Two documents disagree

Team question

### Which expense form should the team use?

> The two available instructions name different forms. The document owner needs to resolve the conflict before the assistant can give one answer.

Sample handbook and quick-start sheet

Handbook: use Form A. Team quick-start sheet: use Form B. Neither source marks the other as superseded.

**Flag the conflict with both passages**Topic owner: Finance operations

The assistant answers from permitted documents. Gaps and conflicts go to the document owner.

## Internal knowledge assistant

- One assistant for the team and sources named in your scope.
- Answers linked to the source file and passage, using sources the person may read.
- A clear no-answer response and a suggested owner when the documents have no answer.
- Tests using real team questions, a log of wrong or missing answers, and a written handover.

Pricing

## A paid audit. A separately scoped build.

Audit

The two-week audit is a paid assessment with a fixed fee and is credited toward the build if you proceed. It maps the questions, sources and first workflow.

Pilot build

A separately scoped, fixed-fee pilot runs over 30 to 90 days. We agree the team, sources, success measure and stopping rule in writing before the build.

Ongoing support

Ongoing support is separate, with an agreed monthly fee and an initial three months, then month to month.

### Your team and its document owner

- Your team asks the same process or product questions more than once.
- You can name the first team and the questions it needs help with.
- Someone owns the source documents and can review missing or wrong answers.

### Questions outside the agreed documents

- Customer-facing support or actions that change business systems.
- A company-wide rollout, unlimited source connections or ongoing support within the pilot fee.

Illustrative walkthrough

## From a repeat question to its source

A paid, fixed-fee audit. A separately scoped, fixed-fee pilot build.

1. Ask a work question

Start with the questions your first team asks most.

2. Find allowed sources

Search the agreed documents that this person may read.

3. Read the answer and source

Show the response with a link to the file and passage behind it.

4. Flag a missing answer

If there is no source, say so and point to the person who owns that topic.

Illustrative workflow. The team, questions and sources are agreed in scope.

## Preparing answers for one team

1. ### Choose the first questions

Use the audit to map repeat questions, where their answers live and who may read each source.

2. ### Build and test with one team

Test real questions with known answers. Check source links, access rules and the response when an answer is missing.

3. ### Keep the gaps visible

Log wrong or missing answers for the document owner to review. Your team keeps the assistant, its prompts, setup and handover notes.

## See how we use our own knowledge base

Our published workflow connects company docs, code and operating notes. It records gaps so the source or search can be fixed.

Use the workflow to discuss your team's first source list and questions.

## Discuss team knowledge

Use a 30-minute call to describe the questions that keep coming back. Discuss the first team, the paid audit and what a pilot would need to do. No document access is needed to book.

## Questions about team answers

What if the answer is not in our documents?

The assistant says it has no supported answer and points to an owner. Missing answers go into a gap log for review. It is built to use your sources, not fill gaps with a guess.

Do we need all our documents ready first?

Start with one team and the questions it asks most. The audit checks the source list, missing material and who owns it before a build is scoped.

Which tools can it read?

The published service supports document stores, wikis, chat and tickets. We agree the actual systems and access in scope. The assistant uses sources the person asking is allowed to read.

Does the audit price include the assistant?

The audit and pilot are separate. The paid audit is credited toward the build if you proceed. The fixed pilot fee is agreed before you commit; ongoing support is separate.
